What is a PREP Outline?

 

 

The PREP outline is a guide to assist letter writers toward composing more effective messages. The following preparation steps will get the results you expect from your communications:

Purpose refers to the reason you are communicating:  a) a negative message (conveying bad news),  b) a positive message (conveying good news), or c) a selling message (attempting to convince).

Reaction of your reader to your message is important for determining the approach you will use as you write:   a) receiver will be pleased, b) receiver will be angry or disappointed, or c) receiver will be cautious or suspicious.                                                                                   
Essential points that could be included are: a) a due date for responding, b) required materials or supporting evidence,  c) importance or urgency of responding, and/or d) uniqueness of the situation.
Presentation order to be used could be: a) Inductive approach (give reasons or supporting evidence first) or b) Deductive approach (present main focus of the message first).
